IMS/PIC - Known System Issues

As of 11/15/2014, the following are known  issues with the IMS/PIC system:

No.

Known Issue

Description

Resolution

1.

Unit Counts in the Unit Status Summary Report

Unit counts in the Unit Status Summary Report may be displaying incorrectly in some cases.  In these cases, the Unit Status Summary Report will display different unit counts than the Unit Detail Report.

This report should not be used to verify data from HUD form 52723 Calculation of Operating Subsidy.  For current/live info PIC users can look at the Unit Detail Report.  For detailed data about Unit Tenant Status changes users can look at the Unit Status Detailed Report. Note: The Unit Status Detailed Report does not have counts just the details (i.e., Vacant to Assisted Tenant).

 2.

SEMAP Report Indicators 9-12 & 14

In a recent system release, the calculations on the SEMAP Indicators Report were modified to better handle records with future effective dates.  In cases where the current record has a future effective date (i.e., an effective date greater than the “As of date” for the report), the system now looks to the historical database to find the prior record.  This is the case for all of the indicators under the SEMAP Indicators Report. However, the corresponding individual reports have not yet been modified to look for prior records in cases where the current record has a future effective date.  In some cases, this will create discrepancies between the different reports and their corresponding indicator tab under the SEMAP Indicators Report. For example, the FSS Report may not match the Indicator 14 data for a particular PHA.

This issue is scheduled to be fixed with the Spring 2015 Release. Until that time users should work with their PIC Coach to resolve incidences of this nature.

 3.

SEMAP Report Indicator 14; FSS

Users may notice a decrease in the value for Number of Mandatory Slots on the SEMAP Indicators Report in IMS/PIC.  The value for Number of Mandatory Slots should be reduced when families exit the program.  However, due to a known system defect, the system is instead reducing the value of Number of Mandatory Slots by the number of families with enrollment or progress updates.  Recent changes to IMS/PIC have revised the calculation of Number of Families with Enrollment or Progress by searching for records in the historical database in cases where the current record has a future effective date.  This change has improved the accuracy of the Number of Families with Enrollment or Progress.  However, by finding more records and therefore increasing the calculated value for Number of Families with Enrollment or Progress in some cases, this change has caused a corresponding decrease in the value displayed for the Number of Mandatory Slots.

This issue is scheduled to be fixed with the Spring 2015 Release. Until that time users should work with their PIC Coach to resolve incidences of this nature.

 4.

Security Administration error "Warning : Expiry date cannot be more than 36 months from current expiration date."

This error is presented in the Security Administration Module if you pull up a user from the inactive list that has an expiration date that is more than 36 months in the past.  The error states "Warning : Expiry date cannot be more than 36 months from current expiration date."

This issue will be fixed at a later date.  Until that time users should work with their PIC Coach to resolve incidences of this nature.

 5.

Availability of Operating Fund Data in PIC

PIC currently is not displaying funding information for Operating Subsidy.   It is only displaying Capital Fund information for the low-rent (public housing) program. This problem is occurring because the interface between PIC & LOCCS is timing out.

The time-out timing has been extended, but the fix will not be implemented until a future release. Until that time Operating Fund Data is unavailable. Users should find alternative means to obtain the information.
